1. Introduction
This Privacy Policy describes how AIzadeh ("we", "us", "our") collects, uses, and protects information when you use our AI-powered corporate knowledge base platform. Privacy and data sovereignty are core to our architecture — the platform is designed to keep your data under your control.
2. Information We Collect
Contact information: name, work email address, company name — collected when you request a demo or create an account. Usage analytics: query logs, search patterns, response latency metrics, and system performance data — collected to improve service quality. Authentication data: email addresses used for OTP verification.
3. Corporate Document Data
Documents uploaded by your organization are processed (parsed, chunked, and vectorized) solely to provide the knowledge base functionality. For on-premise deployments, all document data remains entirely within your infrastructure. We have zero access to your document contents. For cloud-assisted deployments, only the minimum required text context is transmitted to the selected AI model provider via encrypted connections.
4. How We Use Information
We use collected information to: provide and maintain the AIzadeh service; process and respond to demo requests; authenticate users via OTP email verification; monitor system performance and improve AI accuracy; communicate important updates about the Service. We never sell, rent, or share your personal or corporate data with third parties for marketing purposes.
5. Data Storage & Security
All data is stored using industry-standard encryption at rest and in transit. Database access is restricted to authorized personnel only. For on-premise deployments, your organization controls all data storage infrastructure. Regular security audits and penetration testing are conducted. We implement role-based access control at every level of the platform.
6. AI Model Providers
When using cloud AI models (OpenAI, Google Gemini, Anthropic Claude), the minimum required query context is sent to these providers for answer generation. Each provider has their own data processing policies. For maximum data sovereignty, we recommend using local AI models (Ollama/Llama) which process all data on your infrastructure with zero external data transmission.
7. Data Retention
Query logs and analytics data are retained for the duration specified in your service agreement (default: 12 months). Uploaded documents and their vector representations are retained until deleted by your administrators. Upon service termination, all data is permanently deleted within 30 days, or returned to your organization upon request.
8. Your Rights
You have the right to: access your personal data held by us; request correction of inaccurate data; request deletion of your data; export your data in a standard format; withdraw consent for data processing. To exercise these rights, contact your organization's AIzadeh administrator or reach out to us directly.
9. Cookies & Tracking
The AIzadeh platform uses only essential cookies required for authentication and session management. We do not use advertising cookies, third-party trackers, or analytics cookies that track individual user behavior across websites.
